Appointment Guidelines and Expectations During COVID-19

We hope this letter finds you and your family in good health. Our community has been through a lot over the last few months, and all of us are looking forward to resuming our normal habits and routines.

The ADA®, CDC, OSHA, and other governing bodies have made lots of recent recommendations and changes to mitigate the spread of COVID-19, protect our patients, and staff. We’ve taken them, and more, into account: Please take a minute and read about what we’re doing below.

Here is a quick summary:

  • Added UV and HEPA air filtration to each room
  • Added plastic vinyl barriers to separate each treatment room
  • Added lots of PPE (Personal Protective Equipment) — N95 masks, face shields, disposable and reusable gowns, etc.
  • Increased our suction ability and ordered more extraoral suction and air purification devices
  • Increased disinfection protocols in non-treatment areas
  • Complementary mouthwash for every appointment to decrease potential viral load
  • Increased appointment times and lengths to maintain social distancing

Scheduling

We are rebuilding our schedule starting with people whose appointments were cancelled in March and working forward. This means everyone’s appointment will be rescheduled as soon as possible. There is a lot of demand, and we will do our best to expand hours and accommodate everyone that we can. If your contact information has changed, feel free to reach out. Otherwise, we will be calling your preferred numbers on file and get your schedules ready, as we will be reaching out soon! As your appointment is scheduled, we will be asking you to put your payment method securely on file in order to minimize unnecessary contact and maintain social distancing in the waiting areas.

Pre- Appointment

The day before your appointment, we ask that you fill out a MANDATORY pre-screening questionnaire in order to make sure it is safe for you to come in and expedite your check-in. Please click here to fill out the pre-screen form:

Arrival to Appointment

Please be sure to wear your personal mask to your appointment to abide by Boulder County Guidelines. To abide by social distancing, we are implementing a virtual waiting room. Please call or text us as you arrive, and we will call or text you in once it is your turn to enter. If you are getting dropped off and need special accommodations, let us know. If you are bringing someone, please have them wait in the car to abide by guidelines. As you enter, we will take your temperature with a touchless forehead thermometer and take you back to your appointment. Anyone with a temperature over 100.4 must be rescheduled.

Check Out

We are striving for contactless, easy check outs. Since your card was placed on file prior to the appointment, we will run it for any fees associated with your visit upon your exit and email you a receipt. NOTICE there will be a $20 Personal Protection Fee that will most likely NOT be covered by your insurance and is due at the time of service. This fee was proposed by the ADA to accommodate increased costs for PPE. This is the only way we could continue to provide you with your in-network fees and benefits.

We look forward to seeing you again and are happy to answer any questions you may have about the steps we take to keep you, and every patient, safe in our practice.

Thank you for being our patient. We value your trust and loyalty and look forward to welcoming back our patients, neighbors and friends.
